A perpetual licence, priced by school.
Keystone does not charge per technician, per requester or per ticket. You buy KeystoneIT once for your whole organisation, the price depends on how many schools you have, and you can work it out yourself from this page.
The price list
One price for your whole Trust.
Find the row for your number of counted schools. That is the price of the licence, paid once.
- Prices exclude VAT. A quote shows the price, the VAT and the total.
- Counted schools are the schools in your organisation, less any Micro School allowance.
- 31 counted schools or more: we price it with you.
- Provisional. These prices and rules are provisional until the licence agreement and commercial terms are published. A quote is valid for 30 days.
KeystoneIT is in development and has not been released. A quote is for planning and budgeting. It is not an order, and we will tell you when ordering opens.

What every licence includes.

A licence for the whole organisation
One licence covers your whole Trust, federation or school, within the tier you have licensed. There is nothing to buy school by school.

Unlimited users, agents and tickets
Within your licensed organisation. Nobody has to share a login, and nobody is left out to save a seat.

Keystone Platform
Every Keystone product runs on the same shared Platform: one identity, one organisation, one audit foundation. It comes with every product.

The right to self-host
Your licence includes the right to run Keystone on your own infrastructure. Supported self-hosting platforms will be published as qualification completes.

The first 12 months of maintenance
A paid licence includes the first 12 months of software maintenance. After that it is optional.

Source-code continuity, as intended
The licence is intended to include source-code continuity rights. The terms are being written; nothing here is a legal promise.

Micro School, Micro MAT, Micro Group
A small school shouldn’t need an enterprise software budget.
A school standing alone with fewer than 100 pupils pays £0 for the KeystoneIT perpetual licence. So does an organisation of up to 3 schools in which every school has fewer than 100. It is the full product, not a cut-down edition.

Micro organisations receive the software and software maintenance at no charge. Commercial support and Keystone Managed are optional paid services.
What is included
- The perpetual KeystoneIT licence for the full product, with unlimited users, agents and tickets.
- Keystone Platform, as with every licence.
- Software maintenance at £0, for as long as the organisation still qualifies. There is no maintenance invoice behind the free licence.
- Through that maintenance: eligible product updates for supported release lines, and the supported upgrade path.
- High and Critical security fixes for supported release lines.
What is not included
- Commercial support. It is an optional paid service, and its price is not published yet.
- Keystone Managed hosting, which is planned. It would be an optional paid service too.
- Bespoke onboarding, priority support and consultancy.
What has to be true
- Fewer than 100 means fewer than 100: a school with 99 pupils qualifies, and a school with 100 does not.
- The schools are one organisation, and all of it. A few small academies of a larger Trust do not qualify on their own.
- The Department for Education’s register shows it. Where it does not: We can calculate an indicative price, but we’ll confirm the organisation relationship before issuing a licence.
- If the organisation grows out of the Micro terms, the usual one-off difference between tiers applies.
Micro School allowance
Larger organisations get an allowance too.
In a larger organisation, the first 3 schools with fewer than 100 pupils each are left out of the counted-school total. We call them Micro Schools. Every further school counts as normal.

In the last example 5 schools are below 100 pupils, and the allowance covers 3. For each of the others, the licence builder says:
This school is below 100 pupils, but all 3 Micro School allowances are already in use. It therefore counts towards your licence tier.
When more schools qualify than there are allowances, the allowances go to the schools with the lowest URN, the register’s number for a school. Each Micro School is worth one counted school, so the price is the same whichever 3 they are: the rule is there so that the same list always shows the same answer.
The pupil figure we use
We use the latest pupil figure the Department for Education’s Get Information about Schools register publishes for each school, and the builder shows the figure and its date. A school is marked “Needs confirmation”, and counts until it is confirmed, only where there is a specific reason:
- the register has no figure for it, as with a school that has just opened or just become an academy;
- the figure has no date, or a date that does not fit the school’s own record;
- you have told us the figure is wrong;
- the figure is more than 2 years old and close to 100: from 89 to 110 pupils. An older figure outside that range is used as it stands.
The allowance is our commercial rule. It is not a determination by the Department for Education.
Who a licence covers
One licence, one whole organisation.
Trust licensing normally covers the whole Trust: the complete legal Trust, not a selection of its academies. The same goes for a federation.
If you choose only part of a Trust
The licence builder still shows a price for the schools you chose, and offers to add the rest. A quote for part of a Trust says that we need to confirm the arrangement with you before a licence is issued. There can be good reasons for an exception, such as academies that are joining or leaving.
If your schools are not recorded as one organisation
We can calculate an indicative price, but we’ll confirm the organisation relationship before issuing a licence.
Until then every school in the list counts, and the builder shows what the price becomes once the relationship is confirmed.
How the offer is built

A subscription rolls these into one recurring payment. We keep them apart, so you can see which ones recur and why.

The licence is for a named organisation and a band of counted schools. If the organisation grows past the band, the band is what changes, for a one-off charge.

An optional recurring entitlement to updates and support. Stopping it does not stop the software.

A recurring operational service in which we run your installation. It is separate from the licence.
Growth
If your Trust grows.
An organisation that grows into a higher tier pays the one-off difference between the list price of the tier it holds and the list price of the new one. It does not buy Keystone again.
Both prices are the list prices current on the day. We do not take what you originally paid away from today’s price of the new tier: that would charge you again, through any price rise since, for capacity you already own.
We will not switch off your service desk because your Trust has grown.

Maintenance
Maintenance is optional.
A paid licence includes 12 months of software maintenance from the agreed licence start date. After that it is optional, at 20% of the perpetual licence value a year.
What it provides
For a paid licence, maintenance provides feature releases, standard support and the supported upgrade path. The final definition will be in the maintenance terms.
What happens if it lapses
Keystone does not stop working because maintenance is not renewed. You keep your data and your licensed software, and no subscription starts.
Security fixes after a lapse
We make High and Critical security fixes available for supported Keystone release lines regardless of maintenance status.
Maintenance for a Micro licence
Software maintenance for a Micro School, Micro MAT or Micro Group licence is £0 for as long as the organisation still qualifies under the Micro terms. It covers eligible product updates for supported release lines and the supported upgrade path. It does not include commercial support, which is an optional paid service.
Keystone Managed
Have us run it for you.
Planned
Keystone Managed is planned as an optional service on top of your perpetual licence, in which Alresford hosts and operates your installation.
It is recurring because infrastructure and operations are recurring: servers, monitoring, backups and the people who look after them cost money every month. The software is still yours, on the same perpetual licence.
The service is intended to include software maintenance, so a Keystone Managed customer would not also pay the optional maintenance charge.
Keystone Managed pricing is not published yet. We will quote for it separately.
